Migrating data can be stressful and time-consuming. Our Digital Solutions Team recently worked with a company to make its systems more agile, so that it could more readily access data to better inform the decisions of the management team.
A long-time user of Sage50, the company’s accounts staff had grown accustomed to this platform and learned to deal with its limitations.
However, the company required a greater depth of business intelligence, including the ability to turn spreadsheets into accurate, easy-to-understand management information for the Board.
Following a demo of Xero to the company’s finance team by our Digital Solutions Team, the company decided it was time to move over to Xero and reap the benefits on offer.
How we helped
Our Digital Solutions Team worked with the Finance Director and Manager to put together a timescale for the migration project.
The first phase of the project was the migration of Sage data over to Xero, including migrating across two years of historic Sage information.
The migration to Xero included the Sage chart of accounts and all customer and supplier data, plus individual transactions for the two years.
Our team was also able to migrate across all bank payment details into Xero, thereby ensuring the company was able to continue with its ongoing payment runs without disruption to the finance team.
Full Xero training was also provided after the migration by our Xero specialists, who also remained on hand to provide ongoing support as and when required by the company.
The second phase of the project was the migration from Sage Payroll to Xero Payroll which was done at the end of the tax year.
Finally, we helped the company introduce Xero Expenses for its staff, allowing employees to snap receipts and submit their expense claims via the Xero app on their mobile devices – making life far easier for the team.
This was a perfect solution for those employees out on the road and saved the Finance team valuable time in having to chase paper expenses, which previously was the case.
Our new systems incorporated:
- Bookkeeping systems – Xero
- Bookkeeping add-ons – Xero CIS and Xero Expenses
- Payroll systems – Xero Payroll
The successful outcome
The company now has its bookkeeping system, payroll, CIS and expenses all in one system, which has made its financial functions easier to manage.
The management team also have real-time dashboards that keep them up to date on the financials, which can be accessed from any location with an internet connection.
The finance team save valuable time each week through the use of bank feeds and automated account reconciliations and employees can submit expenses on their phone whilst out and about.
